Why connect the two
Sales teams know who the customer is and what was promised. Finance knows what was invoiced and what has been paid. When these live in separate systems, someone retypes data, records drift apart, and nobody has the full picture of an account.
What Zoho says the integration does
According to Zoho’s help pages:
- Customers, vendors and items are synced between the two apps.
- CRM accounts become business customers in Books, and CRM contacts become individual customers.
- Once synced, quotes, invoices, sales orders and purchase orders from Books can be opened from CRM.
- A trigger can create a quote in Books when a record is created in CRM.
What to plan for
Zoho notes that the native Quotes, Invoices, Sales Orders and Purchase Orders modules in CRM do not sync directly with the matching transaction modules in Books. If your sales team already uses CRM’s quote module, decide early whether to move quoting to Books or to build a custom function that bridges the two.
Decide also how duplicates are handled. A clean customer list before the first sync avoids most surprises.
What it means in practice
Done well, a salesperson can see an account’s invoices and payment status without leaving CRM, and finance can see where a customer sits in the pipeline. The benefit comes from agreeing one owner for each field, not from switching the integration on.
How we can help
We review both systems, clean the customer data, configure the sync and handle the quote and invoice flow that fits how you work. See Zoho CRM, Zoho Books and our implementation service.
Frequently asked questions
Is the sync one-way or two-way?
Zoho's help describes a two-way sync by default, with a one-way option from Zoho CRM to Zoho Books.
How are duplicate customers handled?
Zoho's help describes comparing the CRM account name with the Books customer display name, and lets you choose to clone, overwrite or skip when a match is found.
Do CRM quotes become Books quotes automatically?
Not through the native modules. Zoho notes that CRM's Quotes and Invoices modules do not sync directly with Books. A custom function or the Books quote and invoice screens opened from CRM can fill the gap.
