Step 1: Start with your sales process
Before you open the software, write down how a lead becomes a customer: where leads arrive from, what happens at each stage and who is responsible. Zoho CRM can mirror this, but it cannot invent it.
Step 2: Capture leads in one place
Connect your website forms, enquiry email and campaign sources so that every lead lands in the CRM with its source. A lead that lives in someone’s inbox is a lead you cannot follow up.
Step 3: Build the pipeline
Create stages that match your process, with the information required to move a deal forward. Keep the number of stages small. Each stage should answer: what has happened, and what happens next?
Step 4: Automate the routine
Zoho lists workflow automation, cadences and no-code functions. Use them for reminders, task creation and follow-up emails that your team forgets under pressure.
Step 5: Segment and retain
Group customers by behaviour, such as new, returning or inactive, and plan outreach for each group. Record feedback and service issues against the account, so that renewals and repeat sales start from what you know.
Step 6: Review weekly
Look at the pipeline by stage, the age of open deals and the leads that were not contacted. Use the findings to adjust stages and automation.
