Start with the process, not the toolbox
Every business keeps a few facts that standard accounting screens do not ask for: a project code, a purchase approval status, a vehicle number. Zoho Books lets you add these without custom software. The skill is deciding what is worth capturing.
The options
- Custom fields. Zoho lists field types such as text box, checkbox, dropdown, multi-select, date, time, phone and URL, and any custom field can be made mandatory. Example: a dropdown on quotes recording how likely the customer is to buy.
- Validation rules. If a value breaks the condition you set, Zoho shows an alert and the transaction is not created. Example: block a purchase order above an agreed limit.
- Custom buttons. A button can run a Deluge script or open an external URL. Example: a button on quotes that opens your follow-up checklist.
- Custom links. Open an external page from a record. Example: a link to a vendor price page.
- Custom modules. Zoho describes these for data the predefined modules cannot hold. Example: a fleet register for a transport business.
- Custom views. Filtered lists for the records you check every day. Example: draft invoices above a set value.
- Related lists. Show data from other Zoho Books modules and third-party services on a record.
- Web tabs. Embed an external page or application inside Zoho Books.
Points to check before you build
- Some features depend on your plan, so confirm it first.
- A validation rule created in Zoho Books also applies to other integrated Zoho apps.
- Every field you add is something your team must fill in. Fewer, clearer fields are used more.
How we can help
We design the field set with your finance team, write any Deluge logic, and test the effect on reports and integrations before go-live. See Zoho Books and Zoho development.
Frequently asked questions
Do all plans include every customisation option?
No. Zoho's help for validation rules, for example, lists specific plans. Check your Zoho Books plan before designing around a feature.
Do customisations affect other Zoho apps?
Zoho's help notes that a validation rule created in Zoho Books also applies to other integrated Zoho apps, so test the effect on connected apps.
